Surveillance Coordinator

Job Purpose
To provide administrative and operational support to the Surveillance & Security department, ensuring seamless service delivery to clients and stakeholders.

Key Performance Areas

Office Administrative Support

  • Provide administrative support, including handling emails, calls, and correspondence for the Surveillance & Security office.
  • Allocate, reconcile supplier invoices, and resolve queries promptly.
  • Process and submit expense claims to Finance in compliance with company policies.
  • Monitor and manage staff leave according to departmental and company guidelines.
  • Capture and distribute staff rostering schedules in the system.
  • Maintain stock of stationery and consumables, ensuring timely replenishment.
  • Develop and manage an organized filing system for easy document retrieval.
  • Safeguard confidential documents and records.
  • Address and resolve client concerns efficiently.
  • Coordinate the distribution of documents (electronic and hard copies) to relevant parties.
  • Prepare and distribute reports, minutes, presentations, and departmental documents.
  • Track and follow up on action items from meeting minutes.
  • Arrange travel, accommodation, and transport for staff as needed.

Meeting Coordination

  • Schedule and send meeting invitations with adequate notice.
  • Prepare and distribute agendas and minutes in a timely manner.
  • Book suitable meeting venues based on attendee requirements.
  • Ensure all meeting equipment (e.g., laptops, projectors) is functional.
  • Organize catering, considering dietary needs and RSVP responses.

Education

  • Grade 12
  • Secretarial Diploma (advantageous)

Experience

  • Minimum 2 years in administrative or secretarial roles.

Skills and Knowledge

  • Strong planning and coordination abilities.
  • Proficient in clerical and administrative tasks.
  • Problem-solving and attention to detail.
  • Excellent written communication for formal correspondence.
  • Initiative-driven with strong customer service orientation.
  • Relationship-building skills.
