Purpose of the Role
The Buyers Assistant plays a crucial role in supporting the Buying team to achieve strategic and commercial objectives by efficiently managing operational and administrative tasks. Responsibilities include data capture, order placement, invoice processing, vendor communication, and ensuring the accuracy of all buying-related information. The ideal candidate is highly organized, detail-oriented, and driven to meet commercial targets while collaborating effectively with the Buying team.

Job Objectives

  • Ensure accurate cost loading to support stock ordering by the Planner.
  • Determine correct pricing for different units of measure to ensure accurate pack size, cost, and unit sale price loading.
  • Conduct quality checks on cost and sales price setups after cluster assignments by Buyers and Planners.
  • Capture and load retail prices with precision and attention to detail.
  • Resolve store queries related to DC mispicks, barcode issues, and range adjustments.
  • Assist Checkline with consumer inquiries, stock availability, and order placement, including arranging IBTs when needed.
  • Maintain timely and accurate loading of new products on SAP Buying as approved by the Buyer.
  • Notify DC Planners of new products and provide necessary supplier listing details.
  • Manage system flags for product ranging and listing at store level.
  • Coordinate with Replenishers to ensure timely order placement and communicate delivery dates.
  • Capture deranged items and mark downs promptly.
  • Delink discontinued or non-viable items from the system.
  • Maintain organized filing of invoices, costing documents, and supplier updates.
  • Generate reports for Buyer review and action.
  • Monitor KPIs, address issues proactively, and escalate to the Buyer when necessary.

Qualifications

  • Grade 12 certificate.

Experience

  • Minimum 1 year of experience in a similar administrative or support role within buying or planning (essential).

Knowledge and Skills

  • Familiarity with retail buying processes.
  • Strong proficiency in MS Office 365, with advanced Excel skills for creating detailed spreadsheets (essential).
  • Experience with SAP Buying/Retail systems.
