Team Assistant – 6 Months Fixed Term Contract

Introduction
As a Team Assistant, you will provide essential support to three Group Executives, ensuring smooth administrative operations for their divisions, enabling effective and efficient service delivery.

The Job at a Glance
You will act as a key administrative resource, managing schedules, coordinating meetings, handling financial tasks, and ensuring seamless communication across departments.

What Will You Do?

General Secretarial Support

  • Arrange meetings and manage diaries for department heads.
  • Compile and distribute monthly reports on time.
  • Coordinate departmental meetings, including catering arrangements.
  • Prepare letters, presentations, circulars, and correspondence.
  • Address and manage departmental queries efficiently.

Travel Arrangements

  • Handle end-to-end travel bookings for departments.

Financial Duties

  • Assist in budget control and tracking.
  • Process invoices and financial requests for approval.

General Administration Duties

  • Take and distribute accurate meeting minutes promptly.
  • Draft meeting agendas and follow up on deadlines.
  • Maintain departmental documents on SharePoint, including version control.
  • Upload month-end reports and manage stationery orders.
  • Book meetings and manage committee deadlines.

Stakeholder & Project Duties

  • Assist with logistics for training, events, and stakeholder engagements.
  • Support project coordination with basic administrative tasks.
  • Help organize conferences and manage external stakeholder communications.

What Will You Bring to the Table?

  • Education: Grade 12 (Required). Diploma in Office Administration, Secretarial, or Project Management (Advantageous).
  • Experience: 1–2 years in project/event coordination, invoice management, and office administration.
  • Skills:
    • Strong organizational and time-management abilities.
    • Ability to work under pressure with high attention to detail.
    • Excellent verbal and written communication skills.
    • Professional presentation and customer service orientation.
    • Competency in stakeholder management and information handling.
