Job Title: Admin Assistant – Herotel (Klerksdorp)

PURPOSE OF THE ROLE:
The Admin Assistant at Herotel will provide essential support to Managers and Employees, ensuring smooth daily office operations and managing administrative tasks. The role focuses on assisting the Direct Manager while maintaining efficient office workflows.

Key Responsibilities:

  • Maintain office policies and procedures, including HR-related tasks such as loading approved leave on Sage.
  • Manage and update contact lists.
  • Arrange travel bookings and itineraries.
  • Serve as the primary contact for internal and external clients.
  • Answer and direct phone calls professionally.
  • Schedule and coordinate appointments and meetings.
  • Prepare and document detailed meeting minutes.
  • Draft and distribute emails, memos, letters, and forms.
  • Assist in compiling regular reports.
  • Handle confidential information with discretion.
  • Improve administrative systems for greater efficiency.
  • Resolve operational administrative issues.
  • Complete ad-hoc tasks as assigned by the manager.

Required Skills & Experience:

  • Proven experience as an Admin Assistant or similar role.
  • Knowledge of office management systems and procedures.
  • Familiarity with office equipment (printers, scanners, etc.).
  • Proficiency in MS Office (Excel, PowerPoint).
  • Strong time management and prioritization abilities.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication.
  • Ability to multitask and stay organized.

Education Requirements:

  • Grade 12 or NQF Level 4 equivalent.
  • Additional certification in Administration or Secretaryship preferred.
