Job Summary:
MRI Software is seeking a dynamic and experienced Office Manager to lead the day-to-day operations of our Cape Town office, supporting approximately 600 employees. This role requires exceptional organizational skills, leadership, and a proactive approach to ensure a safe, efficient, and welcoming workplace. The ideal candidate will oversee facilities management, team coordination, and employee engagement initiatives to enhance productivity and culture.
Key Responsibilities:
Facilities Operations & Maintenance
- Oversee building systems, including electrical, plumbing, HVAC, security, and access control.
- Manage hard and soft services such as maintenance, cleaning, catering, and waste disposal.
- Coordinate space planning, office moves, and workstation setups to accommodate business needs.
- Ensure compliance with health, safety, and environmental regulations in South Africa.
- Conduct regular inspections and audits to maintain office standards.
Team & Vendor Management
- Lead an internal facilities team, including maintenance staff, cleaners, and reception personnel.
- Manage external vendors, ensuring service quality and adherence to SLAs.
- Act as the primary point of contact for employee office-related queries.
Employee Experience & Workplace Culture
- Foster a welcoming and productive office environment for a diverse workforce.
- Collaborate with HR and leadership to support events, wellness programs, and hybrid work policies.
Compliance & Risk Management
- Ensure adherence to occupational health, safety, and fire regulations.
- Develop and maintain emergency protocols, conducting staff training as needed.
Budgeting & Reporting
- Manage facilities budgets, track expenses, and identify cost-saving opportunities.
- Provide regular reports on facilities performance and improvement initiatives.
Requirements:
Qualifications:
- Diploma or Degree in Facilities Management, Business Administration, or a related field.
- Certifications (e.g., SAFMA, IWFM, IFMA, OHS) are advantageous.
Experience:
- 5+ years of facilities or office management experience in a large corporate or commercial setting.
- Proven track record managing offices for 500+ employees.
- Experience leading teams and overseeing vendor relationships.
Skills:
- Strong leadership and people management abilities.
- Deep knowledge of building operations and South African compliance standards.
- Excellent planning, problem-solving, and multitasking skills.
- Financial acumen with budget management experience.
- Tech-savvy; familiarity with facilities management software is a plus.
Additional Information:
- Must be based in Cape Town with Full-Time onsite presence.
- Valid driver’s license required.
- Occasional after-hours availability for emergencies or projects.
